CRITERIA & ROLE SPECIFICATIONS FOR COMMITTEE MEMBERS

The eligibility criteria for nominees and the responsibilities of the various committee members are detailed below.

ELIGIBILITY CRITERIA FOR NOMINEES

Prior to nominating colleagues, please ensure they are eligible as per the criteria below:

  • Nominees must have ≥5 years’ life insurance industry experience (exception: see below)
  • One additional position is set aside for a nominee that has ≤5 years’ industry experience. All interested parties for this position are to submit a bio and motivation letter. The newly elected committee will then choose from the applications received.
  • Current committee members are eligible
  • Self-nominations are permitted
  • You may nominate more than 1 person

ROLE SPECIFICATIONS FOR COMMITTEE MEMBERS

MAIN COMMITTEE

There are typically 4-5 members on the main committee of which 3 have defined roles, namely Chairperson, Scientific Committee Chairperson and Treasurer. The other roles are supportive in nature.

The committee should be representative of the underwriting, claims and medical divisions.

Chairperson (CP)

  • Once appointed, the CP is to appoint the other main committee members from the relevant nominations list taking into account any requirement to appoint committee members as part of a sponsorship package
  • Ensure there is a reasonable, sustainable timeline for achieving the milestones required for a successful conference
  • Convene regular meetings of the main committee at a frequency that ensures all tasks are completed in a timely manner and to allow for any contingency planning as may be required
  • Engage with the committee to choose a professional conference organizer (PCO) and take responsibility for contracting with this company/individual.
  • Put together all written correspondence to the industry on behalf of the committee
  • Allocate and oversee the tasks of each main committee member
  • Update the main committee on any new developments or changes to the status quo
  • Work collaboratively with the relevant industry bodies and communicate updates on the AUCC to them
  • To ensure all main committee activities are carried out to the highest ethical and professional standards
  • Give the opening and closing speeches at the AUCC conference
  • Fulfil session moderator roles as required
  • Provide feedback to the sponsors after the conference
  • Facilitate the election of the new committee for the next AUCC conference
  • Hand over all relevant information to the chairperson of the new main committee

Scientific Committee Chairperson (SC)

  • Once appointed the SC is to appoint the other scientific committee members from the relevant nominations list taking into account any requirement to appoint committee members as part of a sponsorship package
  • Once the scientific committee has been appointed the SC must convene regular meetings of the scientific committee at a frequency that ensures all tasks/duties are completed in a timely manner and to allow for any contingency planning as may be required
  • To equitably allocate and oversee all tasks and duties as set out in the scientific committee member role specification
  • To communicate any new development or status quo updates to all committee members on a regular basis
  • To participate in all main committee meetings and act as the main liaison between the main and scientific committees
  • To deliver a finalised programme to the main committee upon an agreed date
  • To ensure all scientific committee duties are carried out to the highest ethical and professional standards
  • Fulfil session moderator roles as required
  • Hand over all relevant information to the chairperson of the new scientific committee

Treasurer

  • Oversee the financial affairs of the AUCC and ensure they are legal and constitutional
  • Ensure proper records are kept and that effective financial procedures are in place
  • Monitor and report on the financial health of the AUCC
  • Liaise with committee members to ensure the financial viability of the AUCC
  • Make fellow committee members aware of their financial obligations and take a lead in interpreting financial data to them
  • Regularly report the financial position at committee meetings (cash flow, sponsor performance etc.)
  • Ensure proper records are kept and that effective financial procedures and controls are in place, specifically around payments and the tracking of monies (done through a 4-eye principle with the professional conference organiser)
  • Regularly carry out reconciliations/ oversee regular reconciliations by the finance volunteer
  • Arrange payments to creditors as appropriate
  • Make the necessary arrangements to collect payments from debtors and bank payments promptly
  • Fulfil session moderator roles as required
  • Hand over all relevant information to the treasurer of the new main committee
  • Skills required
  • Knowledge of bookkeeping and financial management
  • Good financial analysis skills
  • Ability to communicate clearly

SCIENTIFIC SUB-COMMITTEE

There are usually 6 members on this committee, which is lead by the Scientific Chairperson who also sits on the main committee. The scientific committee members should be representative of the underwriting, claims and medical divisions.

Scientific Committee Members

  • Market research to determine the topics that are most relevant and of interest to the industry
  • Recommendation and sourcing of speakers
  • Liaising with allocated speakers regarding topic, content and any other AUCC related issues
  • Obtain speakers’ CVs and topic summaries
  • Assist with programme design (content and structure)
  • Follow up with speakers to make sure the presentations are available by due date
  • Available for and participation in meetings
  • Assistance with logistical issues if required
  • Fulfill session moderator roles as required
